Attire and Temperature

San Antonio weather in late October is typically beautiful. Average daytime temperatures range in the upper 70s to low 80s, and nighttime temperatures are in the low 60s, but make sure to check the extended forecast before leaving home. October is also a relatively dry month; however, it’s always a good idea when traveling to be prepared for the occasional shower. Casual attire is the norm for sessions, tours, and most ticketed evening events. Don’t forget to bring a light jacket or sweater to beat the evening chill. Only a few of the finest restaurants require coat and tie; otherwise, relax and be informal.

Hotel Reservations

The ICMA conference housing bureau closed on September 26. To make a new reservation, use online hotel booking sites or contact the conference hotels directly using the telephone numbers listed at the end of this article. Although guaranteed conference rates may no longer be honored, rooms may be available as a result of cancellations. Contact hotels directly to make changes and cancellations.

Getting Around in San Antonio

San Antonio International Airport (SAT) is 8.5 miles from the downtown business district, about a 15-minute drive. A taxi trip (pick-up near Terminal A baggage claim) will cost $25–$30 (tip not included); Ride share companies such as Uber, Lyft, GetMe and Wingz (available near Terminal B baggage claim) start at roughly $17, depending on the type of service you choose.

San Antonio’s downtown is safe, compact, and easy to navigate. All the conference hotels are within walking distance of the convention center, where most conference sessions and events take place. Consult the final conference program for details and instructions concerning busing for sporting and evening social events.

Location of Conference Sessions and Events

Located at 900 E. Market Street, the Henry B. González Convention Center is the site for most of the ICMA conference activities. The Monday evening state/alumni/affiliate receptions and a number of other meetings/events will be held at the Grand Hyatt San Antonio Hotel, next door to the Convention Center.


The conference registration area is located in Exhibit Hall 3 on the Street Level of the convention center. Registration hours are Saturday and Sunday, 8 a.m.−6 p.m., and Monday and Tuesday, 8 a.m.−5 p.m. All conference participants (members, nonmembers, partners, children, guests) must register and wear badges for admission to sessions, exhibits, and partners’ events. Full payment of conference fees must be received by the time you pick up your registration materials. All mail-in registrations received by ICMA after October 5 will be treated as on-site registration. Online registration will be available until October 16, using Visa, MasterCard, or American Express for payment.

If you are registered for an ICMA University workshop on Saturday morning beginning at 8:30 a.m., it is not necessary to pick up your conference registration materials first. Instead, you can go directly to the workshops’ central registration area located in lobby outside Meeting Room 221 on the convention center’s Meeting Room Level for room assignments and workshop materials. If you are registered for the Soft Skills for Success: First-Time Administrators special session, you also can go directly to the session, which begins at 8:30 a.m. in the Grand Hyatt San Antonio Hotel in Meeting Room Bowie BC on the second floor.

Registration Cancellations

Those who registered for the conference but are unable to attend should send cancellation notices in writing to ICMA by October 16. There is a $75 processing fee for the refund of conference registration fees and an additional $35 fee for ICMA University workshop cancellations. Requests for evening social event and field demo ticket refunds also must be received in writing by October 16. No ticket refunds will be given onsite. After the conference, ICMA will process refunds for registration and ticket cancellations that were submitted in writing by the deadlines.


The deadline for requests to CE DMC for tour refunds was September 21. Tickets might still be available for sale at the company’s desk, located near registration in the Exhibit Hall 3 on the Street Level of the convention center. All tours will depart from and return to the ICMA bus stop outside the main entrance. Tour participants should arrive 10 minutes prior to departure.

Saturday Evening Reception

If you plan to attend the Witte Museum reception on Saturday, October 21, 5:30–7:30 p.m., stop by the registration area first to pick up your registration packet containing your event ticket. Buses will depart at 5:30 p.m. from the ICMA bus stop outside the main entrance of the convention center. Shuttle bus service back to conference hotels, The Pearl District, Southtown, and Houston Street begins at 7:00 p.m. and will continue until the end of the party. 

Opening Session and Welcoming Reception

The opening general session will take place on Sunday, October 22, 3–5 p.m., in the Stars at Night Ballroom on the Ballroom Level of the convention center. The “Taste of San Antonio” welcoming reception will follow immediately in Exhibit Hall 3 on the Street Level, 5–7 p.m..

During the reception, opening session keynote speaker Rabia Siddique will sign copies of her book in the ICMA Pavilion. Please note that books by keynoter speakers will be available for purchase only at the registration area in Exhibit Hall 3; no books are being sold inside the Pavilion, where the signings take place.

Free wireless Internet sponsored by BoardDocs is available in the Henry B. González Convention Center. Connect to “ICMASanAntonio” password: ICMA2017. Upon connection, a splash page will appear with a “connect” button. The conference Internet Express centers, which are also sponsored by BoardDocs, are located adjacent to the Stars at Night Ballroom on the Ballroom Level and in Exhibit Hall 3 (Street Level). There will be no printed copies of session handouts and presentations, but you can print those that you need using printers at the Internet Express stations.
